Administrative Assistant/Receptionist (Part-time, Permanent)

CCS is a settlement agency providing a wide range of services to immigrants and refugees regardless of race, religion or immigration status.

We are searching for a part-time Administrative Assistant/Receptionist who will provide administrative support in accordance with established policies and guidelines

What you will be doing:

  • Provide professional telephone and reception services in office locations
  • Screen service/information requests, provide general information and appropriate referrals
  • Schedule and book client appointments with staff
  • Manage and organize reception area including clients’ computers, public information boards and the employment resource rooms
  • Manage the meeting room and computer booking systems, and ensure meeting rooms are kept clean and tidy at all times.
  • Provide administrative support to staff on a scheduled and ad hoc basis
  • Collect, tabulate, prepare and update reports and records as required
  • Develop and maintain computer and paper filing systems, including input of service data
  • Maintain the CCS general email account and respond to general email enquiries
  • Receive, open and distribute correspondence
  • Ensure phones, copiers, fax and computer equipment are fully operational
  • Provide backup support and coverage for other administrative team members as required

What are we looking for?

  • College diploma in clerical administration or the equivalent in training and experience
  • Minimum of 2 years’ work experience in the settlement and/or community work sectors.
  • Experience working with clients from diverse cultural and linguistic backgrounds
  • Fluency in a second language is an asset 

Location: Mississauga, ON

Compensation: $23.22 to $25.85 based on experience

Hours of work: 14 hours per week, including evenings, weekends and occasional overtime as required
